Conference Room Usage

Interact for Health - Conference Room 300

Our large conference room, approximately 1500 square feet, complete with A/V equipment, is now available Monday through Wednesday, 1 pm to 4 pm, and Thursday and Friday, 9 am to 4 pm, based on availability, to a public or private nonprofit or governmental organization. Organizations that are not nonprofits or governmental entities may use the room if they have a fiscal sponsorship with a 501(c)(3) IRS designation.  

Host your next department meeting or staff training at Interact for Health. We offer free onsite parking, easy access to I-71, and room configurations for approximately 60 participants.

We’ve compiled the following list of common questions about booking our conference room:

  • What types of meetings are permitted?

    Meetings, trainings, workshops, brainstorming sessions only. The following are not permitted: special events, lobbying or political activities, promotional and fundraising events, registration or ticketed (fee-based) events, or sale of services or products.

  • How and when can the room be used?

    • Based on availability: Monday – Wednesday, 1 pm - 4 pm; Thursday & Friday, 9 am – 4 pm.
    • Requested times must include time for set up, A/V testing, and clean-up.
    • Interact for Health is closed for major federal holidays (ex: New Years Day, Martin Luther King Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving, Christmas). Please contact us to discuss other office closures.  
    • Booking requests must be made at least 10 business days before the meeting date. Organizations can book up to three (3) months in advance and one booking per month. 
  • How can the room be configured?

    • Classroom for 48 (2 chairs/table; 3 aisles) See example here

    • *Interact for Health cannot guarantee parking for 72 participants 
  • What A/V equipment and resources are available?

    • Stationary podium with HDMI laptop connection.  
    • In-room PC with ceiling-mounted microphones and cameras, ceiling-mounted LCD projector, large drop-down/retractable screen. 
    • Virtual support via Zoom platform only.
    • Two (2) white erase boards (stationary) with markers & erasers.
    • WiFi connection.
    • Interact for Health will not provide configuration support for external devices. 
    • Interact for Health recommends that organizations bring a backup copy of the presentation or materials on a USB drive.   
  • What is the food and beverage policy?

    • If requested in advance, Interact for Health can provide pitchers of water, plastic cups, and paper tablecloths for food tables only.
    • Organizations are responsible for ordering, costs associated with the order and delivery of food and beverage, or cancellation of the order. Organizations must be onsite to accept and sign for the delivery. Orders must include ready-to-serve packaging (ex: utensils, napkins, plates, cups, condiments). Interact for Health will not pay for any costs associated with food and beverage orders, deliveries or cancellation of those items.
    • Food and beverage items must be delivered in the original packaging from a licensed food establishment. Caterers/catering services are not permitted.
    • Interact for Health must be notified two (2) business days in advance of deliveries.
    • Kitchen facilities are not available; however, Interact for Health can refrigerate food items after 90 minutes of delivery.
    • All leftover food and beverage items must be removed by the organization at the conclusion of the meeting. Food transport carts may be available if needed.
    • Interact for Health and organization’s contact will do final walk-through at the conclusion of the meeting.
  • Are there other amenities offered?

    • First Aid and AED device; however, in the event defibrillation is needed for an attendee, organizations must immediately contact 9-1-1.
    • Recycling station for glass, plastic, paper
    • Dimmable lights
    • Coat closet
    • ADA restrooms
    • Signage to welcome attendees
    • NOTE: Interact for Health does not provide office support services (ex: photocopying, printing, supplies).
  • Is the building ADA-accessible?

    • The back entrance (east side) of the office building* has ADA parking spots available and a flat sidewalk surface leading into the building. There are two sets of doors, however they do not have automatic openers.  
    • If you/your attendees need assistance entering the building, please contact us directly at: 513-458-6600.
    • *Opposite the main entrance of the building that has the tall white columns; or look for the blue USPS mailbox
  • Is there a cancellation policy?

    • Notify Interact for Health via email, bookings@interactforhealth.org, within 48 hours of the meeting date.
    • Excessive cancellations may terminate further usage.
    • Interact for Health reserves the right to cancel or delay the meeting due to unforeseen circumstances (ex: hazardous road conditions). Organizations will be contacted immediately in these situations.
    • Organizations are encouraged to tune in to local news stations for closures or utilize Interact for Health’s announcement line (to be provided in the confirmation email).
  • Are animals permitted in the conference room?

      Only service or emotional support animals are permitted and must be under the control of its handler at all times.
  • What is the process to book or request the room?

    • The organization must read and agree to the Agreement for Use of Conference Room.
    • Complete and submit the online Conference Room Request Form.
    • Interact for Health will: (a) email the organization’s contact confirming the receipt of the Conference Room Request Form; (b) review the request & check availability; (c) send 2nd email confirming the conference room reservation to the organization’s contact.
    • If there are scheduling conflicts, Interact for Health will contact the organization directly.
